Connect your Gmail or Outlook inbox

Link a Gmail or Outlook mailbox so SAMI OS can send and receive email on your behalf.

Before SAMI OS can send or receive email for you, you need to connect a mailbox. This is a one-time setup in Settings that authorizes SAMI to send from your real address and pull replies back into the CRM.

Why you need to connect a mailbox

SAMI OS doesn't have its own email server. It sends through your provider, so replies land in your inbox and your contacts see your real address. Until at least one account is connected, email features stay off and any send fails with a "No email account connected" message.

Connecting uses OAuth, which means you sign in directly with Google or Microsoft and grant access. SAMI never sees your password.

Connect Gmail or Outlook

  1. Open the Email settings

    Head to Settings and select the Email tab. You'll see a Connect an account section.

  2. Pick your provider

    Click Connect Gmail or Connect Outlook. You'll be redirected to Google or Microsoft to sign in.

  3. Grant access

    Approve the requested permissions. SAMI needs send and read access to manage email on your behalf.

  4. Return to SAMI OS

    After you approve, you're sent back to the Email tab. The new mailbox appears under Connected accounts once the list refreshes.

The sign-in link is only valid for about 10 minutes. If you wait too long, the connection fails with a state validation error — just click Connect Gmail or Connect Outlook again to start over.

Set a default account

When SAMI sends an email and no specific mailbox is chosen, it uses your default account. The default is also what's used when a SAMI Bot or a workflow sends mail on your behalf.

In the Connected accounts list, find the mailbox you want and click Set default. A Default badge marks the active one. If you only have a single connected account, it's used automatically.

Keep accounts in sync

Each connected account shows when it was last synced. To pull in new messages right away, click Sync now next to the account. If syncing repeatedly fails, you'll see a Sync error label — reconnect the mailbox to refresh access.

To remove a mailbox, click Disconnect. SAMI stops sending and receiving for that address immediately, though past emails stay logged on your contacts in Contacts.

Seeing a connection error after the redirect? A token exchange or profile lookup failure usually means the provider rejected the sign-in. Try connecting again, and if it persists, contact your admin to check the integration setup.

Once a mailbox is connected, you can write and respond to messages from any contact in your Inbox.
