Use a connected app as a workflow action

Add a connected app's action as a workflow step and map its fields to your contact data.

A workflow can do more than send texts and emails — it can reach into the apps you already use. Add a connected app's action as a step to create a contact in HubSpot, post a Slack message, or send a document with BoldSign automatically.

Add an app action to your workflow

Open the workflow you want to build in Workflows, then add the step where you want the action to run.

  1. Add a step and open the picker

    On the canvas, click the + below the step where the action should fire. The picker opens on Add Action.

  2. Choose an app

    Switch to the apps view and use Search 3rd party apps… to find your tool — for example Follow Up Boss, GoHighLevel, HubSpot, Slackbot, or BoldSign.

  3. Pick the action

    Open the app and choose what it should do, such as Create Contact or send a document. The step is added and its setup panel opens in the sidebar.

  4. Select an account

    Under Account, pick the connected login this step should use. If you haven't connected one yet, click Log in to the app to authorize it first.

  5. Map the fields

    In Fields to fill, set each input. Type a value or insert workflow data like {{trigger.email}} or a value from an earlier step. Required fields must be filled before you publish.

Click Test Step in the sidebar footer to run the action with sample data and confirm the output looks right before you publish.

How field options load

For dropdown fields — like a HubSpot pipeline stage or a Slack channel — SAMI OS loads the choices live from the provider using the account you selected. That means you pick from your real, current data instead of typing IDs by hand.

Because the options come from the connected account, you have to select an account first. Until you do, the field list shows a reminder to log in so SAMI OS can read the available choices.

Before you publish

App actions run against a real account, so a few things need to line up first.

Steps that act on a person — like creating a note or updating a contact — need a contact in the workflow. When your workflow starts from an external trigger, add a Create Contact or Lookup Contact step before the app action, or the step won't have anyone to act on.

You can manage which logins are available from Settings. To change the app or action on an existing step, open it in the sidebar and click Change on the app card. For more on getting apps linked, see how to connect an app in Workflows.
