Understand roles and what each can do

A guide to SAMI OS roles, the data each can see, and who can assign them.

Every person you invite to SAMI OS gets a role, and that role decides what they can see and change. This guide walks through each role and the data scopes behind it so you can assign the right access.

The role catalog

You set a person's starting role when you invite them and can change it anytime from Settings → Team. SAMI OS uses five simplified roles:

  • Owner — the account creator. Owner access is locked and cannot be reassigned from Team settings.
  • Admin — manages team members, routing, workflows, templates, contact stages, and organization-wide CRM access, without owner-only billing controls.
  • Agent — works assigned contacts, inbox items, deals, calendar, tasks, and personal workflows.
  • ISA — works assigned inside-sales conversations and follow-up, with access shaped by the member's individual permissions.
  • Lender — works assigned lending relationships with lender-focused visibility and no default reporting access.

In the product, "Deals" appears as Pipeline and "Voice Agents" appear as SAMI Bots. Role scopes use the in-app labels throughout.

How data scopes work

A role does not just flip features on and off — it sets a scope for each kind of record. The most common scopes are:

  • Assigned — only records assigned to that person (and, for agents, their collaborators and ponds).
  • Team — every record belonging to their team.
  • All — the entire organization's records.

These scopes apply independently to contacts, the inbox, Pipeline, the calendar, tasks, and reporting. Pick the narrowest role that matches the person's primary job, then use per-member permissions for exceptions. For example, start a producing agent as Agent, an operations manager as Admin, an inside-sales rep as ISA, and a lender partner as Lender.

Who can assign which roles

The role you hold also limits which roles you can hand out:

  1. Open your team list

    Go to Settings → Team. You will see every member with their current role badge.

  2. Invite or open a member

    Use Invite teammate to send an email invite, or click Edit on an existing member and choose Roles & Permissions to reach the role selector.

  3. Pick a role

    The role dropdown only lists roles you are allowed to assign. Owners and admins can assign Admin, Agent, ISA, or Lender. Owner access is locked to the account creator.

If a role is missing from your dropdown, you do not have permission to grant it. Ask an account owner to make the change, or to promote you first.

How permissions gate the settings menu

Permissions also decide which settings sections each person sees. Owner-only areas such as Billing and email setup stay hidden from everyone else. Contact stages is available only to organization owners and admins, who can manage every stage except protected New and Archived. Shared tools such as Templates remain open to members whose role or individual permissions include them. If a teammate cannot find a setting you expect them to have, check their role and per-member permissions first — the menu is following their permissions, not hiding a bug.
