Understand roles and what each can do

A guide to SAMI OS roles, the data each can see, and who can assign them.

Every person you invite to SAMI OS gets a role, and that role decides what they can see and change. This guide walks through each role and the data scopes behind it so you can assign the right access.

The role catalog

You set a person's role when you invite them and can change it anytime from Settings → Team. SAMI OS ships seven roles:

  • Owner (Account Owner) — full control. Only owners manage billing, exports, custom fields, custom Pipeline stages, appointment types, and phone port-aways, on top of everything an admin can do.
  • Admin — an organization-wide operator. Admins manage team members, lead routing, groups, ponds, templates, and org workflows, and see all CRM data — everything except the owner-only billing and configuration controls above.
  • Agent — an individual producer. Agents see their assigned, collaborator, and pond contacts, plus their own calendar, Pipeline, tasks, and reporting.
  • Lender — like an agent, scoped to assigned leads, with personal Pipeline, calendar, and tasks. Lenders have no reporting.
  • ISA Lead — an account-level inside sales lead with access to all contacts, deals, calendars, and tasks, but reporting limited to their team.
  • Team Lead — a team manager whose contacts, Pipeline, calendar, tasks, and reporting are all scoped to their team.
  • Lender Team Lead — leads a lender team across all deals and calendars, with team-scoped tasks and no reporting.

In the product, "Deals" appears as Pipeline and "Voice Agents" appear as SAMI Bots. Role scopes use the in-app labels throughout.

How data scopes work

A role does not just flip features on and off — it sets a scope for each kind of record. The most common scopes are:

  • Assigned — only records assigned to that person (and, for agents, their collaborators and ponds).
  • Team — every record belonging to their team.
  • All — the entire organization's records.

These scopes apply independently to contacts, the inbox, Pipeline, the calendar, tasks, and reporting. That is why a Team Lead sees team-wide Pipeline and reports while an Agent sees only their own, even though both can work deals.

Who can assign which roles

The role you hold also limits which roles you can hand out:

  1. Open your team list

    Go to Settings → Team. You will see every member with their current role badge.

  2. Invite or open a member

    Use Invite teammate to send an email invite, or expand an existing member to reach the role selector.

  3. Pick a role

    The role dropdown only lists roles you are allowed to assign. Owners can assign any role, including Owner. Admins can assign any role except Owner.

If a role is missing from your dropdown, you do not have permission to grant it. Ask an account owner to make the change, or to promote you first.

How permissions gate the settings menu

Permissions also decide which settings sections each person sees. Owner-only areas like Billing, custom fields, and email setup stay hidden from everyone else, while shared tools such as Templates remain open to agents and leads. If a teammate cannot find a setting you expect them to have, check their role first — the menu is following their permissions, not hiding a bug.
