Manage contact stages
Create, rename, reorder, and safely delete organization-specific contact stages from Settings.
Organization owners and admins can manage the stages their team uses from Settings → Contact stages. Stage management lives only in Settings, so agents and other teammates can use the current stage list without changing its structure.
Know what is protected
Two stages are operationally special and cannot be renamed, reordered, or deleted:
- New is always first. New contacts start here, and restoring an archived contact returns it here.
- Archived is always separate from the active stages. It is the only stage that removes contacts from All Active and runs the normal archive lifecycle behavior.
All Active is a computed view, not a stage. It includes every non-archived contact, regardless of how your organization names or orders its editable stages.
Add, rename, and reorder stages
Open Contact stages
Go to Settings → Contact stages. The list keeps New at the top, Archived at the bottom, and your editable stages between them.
Add a stage
Click Add stage, enter the display name your team should see, and save. The new stage becomes available anywhere SAMI OS asks for an active contact stage.
Rename a stage
Use the edit control beside an editable stage, change its name, and save. Only the display name changes; the hidden internal key stays stable so existing references continue to work.
Reorder stages
Drag editable stages into the order that matches your process. New and Archived remain in their protected positions.
Editable stage names are organization-specific. Names that appeared when your organization was created are starting defaults, not universal choices after customization.
Delete and remap a stage
An editable stage cannot be deleted without a replacement. The replacement must be another active, non-archived stage.
Open the deletion preview
Use the delete control beside the stage. SAMI OS shows how many contacts, workflow references, Smart Lists, and shared views currently use it.
Choose a replacement
Select an active stage other than Archived. The replacement receives every current reference shown in the preview.
Delete and remap
Click Delete and remap. Contacts, workflows, Smart Lists, and shared views move to the replacement together. Existing API calls and Zaps that still send the deleted stage's stable key are redirected to the replacement.
Deletion is an administrative remap. It does not run the normal workflow or Zapier stage-change triggers for the contacts being moved. Ordinary contact stage changes and real archive actions continue to use their normal automation and archive behavior.
Stage colors
Colors are not configurable in this release. Existing default stages keep their current colors, and stages your organization adds use the product's neutral stage style.
