Understand contact stages

What each contact stage means, how it shows up as a filter, and how to move a contact through your pipeline.

Every contact in SAMI OS carries a stage that tracks where they are in your pipeline, from a brand-new lead to a closed deal. Stages keep your Contacts list organized and let you filter to exactly the people you need to work next.

The stages a contact moves through

A contact sits in one stage at a time. As the relationship progresses, you move them along. Each stage shows as a colored pill on the contact and as a filter tab above your list.

"New", "Reached Out", and "Engaged" are the user-facing labels for the early lifecycle stages. The label is what you see in the app — you never have to remember an internal value to filter or update a stage.

Filter your list by stage

On Contacts, a row of stage pills sits just above the table. Click any pill to filter the list down to that stage.

  • All shows every active contact with a running count.
  • Each stage pill shows its own live count, so you can see your pipeline at a glance.
  • Archived sits at the end, after a divider, because archived contacts are kept out of your active view.

On a phone, the same stages appear in a compact picker at the top of the list.

Change a contact's stage

You can update one contact or a whole batch at once.

  1. Open the contact or select several

    From Contacts, open a single contact, or tick the checkboxes next to several rows to act on them together.

  2. Choose the new stage

    Pick the stage you want from the stage control. For a multi-select, use the bulk bar that appears at the bottom and choose "Change stage."

  3. Confirm

    The contact moves immediately. The stage counts above your list update to match.

Pair stages with your follow-up. A contact in "Engaged" is a great candidate to enroll in a SAMI Bots sequence or a Workflow so the next touch happens automatically.

Lost vs. Archived

These two look similar but do different jobs.

  • Lost is a real pipeline stage. The contact stays in your active list so you can revisit them — leads often come back around, and a "Lost" tag keeps them visible for a future nudge.
  • Archived removes a contact from your day-to-day view entirely. The record isn't deleted; it's tucked away under the Archived tab and can be restored anytime. Use it for duplicates or contacts you're done working but don't want to lose.
