Get started with Contacts

Learn your way around the Contacts workspace — the Smart Lists rail, stage pills, filters, and contact records.

Your Contacts workspace is the home for every person you work with. This article walks you through the layout so you can find any contact and narrow your list in seconds.

The Contacts layout at a glance

When you open Contacts, the screen is split into two parts.

On the left is the Smart Lists rail. The top entry, All contacts, holds your full active list with a count beside it. Below a divider sit any Smart Lists you or your teammates have saved as public — each a one-click saved view with its own cached count. Smart Lists you created show a delete control; shared ones from others don't.

The right side is your contact table. Above it, a header shows the current list name and an active badge, the Filters button, and the New Contact button. A row of stage pills sits just below.

By default the table shows only your active contacts. Archived contacts are kept separate and never mixed into the main list or the active count.

Move around with stage pills

Stage pills let you slice your list by where each contact is in their journey. The active stages, in order, are New, Reached Out, Engaged, Active Opportunity, Client, Closed, and Lost. An All pill on the far left shows everyone active.

  1. Pick a stage

    Click any pill — for example Engaged — to filter the table to just those contacts. The pill highlights to show it's active.

  2. Read the counts

    Each pill carries a number in parentheses. That's how many active contacts currently sit in that stage. The All pill totals every stage except Archived.

  3. Open a contact

    Click a contact's name in the table to open their full record, where you can review activity, edit details, and start follow-up.

  4. Check Archived separately

    After a divider at the end of the pill row, the Archived tab shows contacts you've set aside. Open it to review or restore them. On a phone, the pills collapse into a Stage dropdown that works the same way.

Filter, count, and create

The header badges update as you work. The active badge always reflects your total active contacts — every stage except Archived and trash. When you apply conditions with the Filters button, a separate filtered badge appears showing how many contacts match, and the button shows a small count of the conditions you've set.

Built a filter combination you'll reuse? Save it as a Smart List and it appears in the left rail for one-click access next time — no need to rebuild it.

To add someone new, click New Contact in the top right and fill in their details. From the table you can also select rows to change stage in bulk, archive contacts, or start a SAMI Bots follow-up. Need to keep momentum elsewhere? Jump to your Pipeline or Inbox straight from the top navigation.
