Work with tasks on the calendar

See dated tasks alongside appointments, complete them in one click, and add new tasks right from the calendar.

Your tasks live right alongside your appointments on the Calendar, so you can see what's due and check it off without switching screens. Any task with a due date shows up on its day, color-coded by priority.

How tasks appear on the calendar

Every task that has a due date lands on the matching day in the grid, marked with a checkbox icon to set it apart from appointments. Tasks are color-coded by priority so the most pressing work stands out at a glance:

  • Urgent — red
  • High — amber
  • Medium — the standard workflows accent
  • Low — muted gray

Completed tasks are hidden by default to keep the grid focused on what's still open. When you turn them on, finished tasks reappear with a struck-through label so you can tell them apart from active ones.

To bring finished work back into view, open the Filter menu in the calendar header and check Completed Tasks. You can also toggle Appointments and Tasks independently — see Filtering calendar events for the full breakdown.

Complete a task from the day panel

You don't need to open Tasks to mark something done. Click a day to open its panel on the right, then finish a task in place.

  1. Open a day

On the Calendar, click the day that holds the task. Its appointments and tasks list in the side panel.

  2. Find the task

Each task shows its priority badge next to a status button. The button reads Complete while the task is still open.

  3. Mark it done

Click Complete. The button switches to Done and the task is marked complete. Click Done again if you need to reopen it.

Once a task is marked done it drops out of the grid unless Completed Tasks is enabled in the filter. The open-task count in the calendar header updates to match.

Create a task from the calendar

The same dialog that adds appointments can create tasks, so you can capture a to-do the moment it comes up.

  1. Open the New Event dialog

Click New Event in the calendar header, or select a day and choose Add to this day to prefill the date.

  2. Switch to the Task tab

At the top of the dialog, click Task to swap the appointment fields for task fields.

  3. Set the details

Enter a title and a due date, then pick a priority — Low, Medium, High, or Urgent. Optionally link a contact so the task ties back to the right person.

  4. Create it

Click Create. The task appears on its due date in the grid, colored by the priority you chose.

Linking a contact logs the new task on that contact's timeline, so the activity shows up in Contacts as well as on the calendar.
