Track appointment outcomes

Log what happened after a showing or consult by setting an appointment's outcome to keep your pipeline and reporting accurate.

Every appointment carries an Outcome field that records what actually happened once the showing, consult, or inspection is over. Updating it keeps your schedule honest and your follow-up reporting trustworthy.

How the Outcome field works

When you create an appointment, its outcome starts as Scheduled — that's the default for any appointment you haven't logged yet. After it happens, you can move it to one of four results:

  • Completed — the showing or meeting took place as planned.
  • Cancelled — it was called off before it happened.
  • No Show — the contact didn't attend.
  • Rescheduled — it was moved to a different time.

Each value shows as a color-coded pill on the appointment row, so you can scan your Appointments list and see at a glance which results still need logging. Completed appears in green, Cancelled in red, No Show in amber, Rescheduled in blue, and the default Scheduled in your Pipeline accent color.

Set an outcome inline

You log the outcome right from the appointment row — no separate edit screen needed.

  1. Open your appointments

    Head to Appointments and find the showing, consult, or inspection you want to update.

  2. Expand the row

    Click the appointment to expand it. The chevron rotates and the detail panel slides open with every editable field.

  3. Choose the outcome

    Find the Outcome field and select Completed, Cancelled, No Show, or Rescheduled from the dropdown.

  4. Confirm the pill updates

    Your choice saves immediately and the color-coded outcome pill on the row reflects the new status.

Log outcomes the same day an appointment happens. A row still showing Scheduled after its start time is an easy reminder that a result is missing.

Why logging outcomes matters

Outcomes are how SAMI OS knows the difference between a plan and a result. An accurate outcome keeps your reporting clean in Analytics — your completion, cancellation, and no-show rates only mean something if every appointment is logged.

They also keep your Pipeline in step with reality, so a contact who just finished a buyer consultation isn't sitting in a stage that no longer fits. And a clearly marked outcome is the cleanest signal for what comes next: a Completed showing is your cue to send a recap, while a No Show or Cancelled result is your cue to reach back out and re-book.

Marking an appointment Rescheduled records that the original slot didn't happen. Create a new appointment for the new time, or update the start and end on the existing one, so your Calendar stays accurate.
