Save filters as Smart Lists

Turn an active contact filter into a reusable Smart List that lives in the left rail on Contacts.

When you've built a filter you keep coming back to, save it as a Smart List so it's one click away. A Smart List remembers your filters, sort, and columns, and shows up in the left rail on Contacts with a live count.

Save your current filter as a Smart List

First, build the filter you want on Contacts — for example, "New leads from Zillow in the last 7 days." Once a filter is active, the save controls appear.

  1. Build and check your filter

    Add your filter conditions on Contacts until the list shows exactly the people you want. The save controls only show once at least one filter is active.

  2. Name the list

    Type a clear name in the Smart List name field — something you'll recognize later, like "Hot buyers" or "Past clients."

  3. Save it

    Click Save Smart List. You'll see a "Saved." confirmation, and the new list appears in the Smart Lists rail on the left.

On a narrow window the inline save controls are hidden. Open the Smart views menu (the bookmark button in the filter bar) to save, load, or delete a view from anywhere.

Share a list with your team

Saving keeps a list for yourself. To hand the same view to a teammate, use the Share button next to the save controls. SAMI OS builds a link that opens Contacts with your exact filters, sort, and columns applied, and copies it to your clipboard so you can paste it into a message. Anyone on your team who opens the link lands on the same filtered list (they still only see contacts they're allowed to see).

A Smart List can be deleted only by the person who created it. In the rail, the delete control appears on your own lists; teammates' lists stay put so a shared view doesn't disappear out from under the team.

Read the counts

Each Smart List shows a number badge in the rail. That count is calculated for you — it reflects how many contacts match the list's filters within what you're allowed to see, so two people can open the same list and see counts tuned to their own access. The All contacts entry at the top of the rail shows your total active contacts for quick reference.

Switch between, load, and update lists

Your saved lists are always a click away.

  1. Switch lists

    In the Smart Lists rail on Contacts, click any list to load its filters, sort, and columns. Click All contacts to clear back to your full list.

  2. Load from the menu

    You can also open the Smart views menu and click a saved view there. It applies the filters and closes the menu.

  3. Update a saved list

    To change what a list captures, load it, adjust the filters, then save again — re-saving with the same name keeps your rail tidy. Use the trash icon in the rail or the Smart views menu to remove a list you no longer need (you'll confirm once before it's deleted).

How Smart Lists differ from stage pills

The stage pills above your list — New, Reached Out, Engaged, and so on — are quick, built-in filters for one lifecycle stage at a time. Smart Lists go further: they save any combination of conditions, plus your chosen sort and columns, under a name you pick. Reach for a stage pill for a fast look; save a Smart List when you want that exact slice of your database ready to reuse and share.
