Connect email and create message templates
Connect a Gmail or Outlook mailbox via OAuth and build reusable SMS and email templates in SAMI OS.
Connect your mailbox so SAMI can send and receive email from your contacts, then save reusable text and email templates for faster follow-up. Both live in Settings.
Connect a mailbox
Connecting an account lets SAMI sync mail and send on your behalf. Open the Email tab in Settings to get started.
Open the Email tab
Head to Settings and choose the Email tab. You'll see a "Connect an account" section with two buttons.
Pick your provider
Select Connect Gmail or Connect Outlook. SAMI sends you to your provider's sign-in page to grant access.
Approve access
Sign in and approve the requested permissions. You're redirected back to the Email tab when it's done.
Confirm the connection
A green "Outlook connected" banner confirms success, and the mailbox appears under "Connected accounts" once the list refreshes. If something went wrong, a red "Email connection failed" banner explains why — for example, an expired link (the connect flow times out after 10 minutes). Just connect again.
If you see "Email connection failed," check the reason in the red banner before retrying. Most failures are an expired link or a declined permission — reconnecting usually fixes them.
Manage connected accounts
Each connected mailbox shows its email address, provider, and the date it last synced. The first account you connect is marked Default, which SAMI uses for outbound mail.
- Set default — make another connected mailbox the one SAMI sends from.
- Sync now — pull in the latest mail immediately instead of waiting for the next scheduled sync.
- Disconnect — remove SAMI's access to that mailbox.
If a mailbox shows a Sync error, use Sync now to retry. If it keeps failing, disconnect and reconnect the account to refresh access.
Create SMS and email templates
Templates are reusable messages you can drop into follow-ups and Workflows. Open Templates in Settings to manage them. SMS and email are kept on separate tabs at the top.
Owners and members with the manage-templates permission can create, edit, and delete templates. Without it, you can still view and copy existing ones to reuse.
Choose SMS or Email
On the Templates page, switch between the SMS and Email tabs, then select New template.
Name the template
Enter a clear template name so it's easy to find later when you're sending.
Write the message
Type your content in the message editor. For email templates, also fill in the Subject field. Use the variable picker or type
/to insert personalization like a contact's first name or your organization details.Save it
Select Save template. It appears in the list for that tab, sorted by name, ready to use.
To reuse, edit, or remove an existing template, hover over its row: the copy icon duplicates it as a starting point, the pencil opens it for editing, and the trash icon deletes it. Templates marked SAMI default ship with SAMI OS — you can copy them, but the built-in ones can't be deleted.
