Tracking appointment outcomes and show rates
Use the Appointment Outcomes report to see completed, no-show, and canceled appointments and compare show rates.
The Appointment Outcomes report shows how many appointments your team set and how they turned out, so you can spot no-show patterns and compare show rates across types and agents.
Read the outcome metrics
Open Appointment Outcomes from Analytics to see five summary metrics across the top:
- Appointments — every appointment in your date range, the total denominator for your show rate.
- Completed — appointments marked as held, showed, or attended.
- No-Shows — appointments the contact missed.
- Canceled — appointments that were called off before the time.
- Scheduled — appointments still on the calendar without a recorded outcome.
Your show rate is Completed ÷ Appointments. Comparing Completed against No-Shows and Canceled tells you where booked time is leaking away.
SAMI sorts each appointment into a bucket from its recorded outcome. Appointments without an outcome stay in Scheduled until someone marks them in Appointments, so keep outcomes up to date for an accurate show rate.
Filter the report
Use the Filters bar to narrow the report before you read the numbers.
Set your date range
Pick a preset like Last 30 days or Last 90 days, or choose Custom to enter a Start and End date.
Filter by user
Set User to a single team member to see only their appointments, or leave it on All users for the whole team.
Filter by lead kind
Use Lead kind to focus on All leads, Website leads, or Manual leads.
Filter by type and outcome
Once your org has recorded appointment types and outcomes, a Type filter and an Outcome filter appear. Use them to drill into one kind of appointment (such as buyer consults) or one result (such as no-shows).
Don't see the Type or Outcome filters? They only appear after your org has appointments with types and outcomes recorded. Set outcomes on a few appointments in Appointments, and the filters show up automatically.
Chart and break down the results
The Primary filter picks which metric the chart plots over time. Choose Appointments, Completed, No-shows, Canceled, or Scheduled, then set Granularity to Daily, Weekly, or Monthly to smooth the trend. Turn on Compare to lay the previous period over the chart and see whether your show rate is improving.
Below the chart, the breakdown table lists every appointment with its Title, People, Team, Created By, Date, Type, Outcome, and lead source. Scan the Type column to compare show rates across appointment types, and the Created By column to compare team members. Pair this with Team Activity to see who's both setting and holding the most appointments.
