Schedule a new appointment

Create a showing, consultation, or closing on the New Appointment form and link it to a contact.

Need to lock in a showing, buyer consult, or closing? The New Appointment form lets you add the details in one place and tie the appointment to the right contact so it shows up on their timeline.

Fill out the New Appointment form

Head to New Appointment to open the form. Title, Start, and End are required; everything else is optional but worth filling in.

  1. Name the appointment

    Enter a Title — for example, "Buyer Consultation" or "Showing at 123 Main St". This is what you'll see on your Appointments list and Calendar.

  2. Link a contact

    Open the Contact dropdown and pick someone from your Contacts. Linking a contact attaches the appointment to their record, so it appears on their activity timeline and can trigger any matching Workflows.

  3. Choose a type

    Set the Type to match the meeting: Buyer Consultation, Listing Appointment, Showing, Open House, Inspection, Closing, or Other. Type is optional, but it keeps your calendar easy to scan.

  4. Set the start and end time

    Pick a Start date and time. The End field auto-fills to one hour after your start time — adjust it if the appointment runs longer or shorter.

  5. Add location and details

    Use Location for an address, office, or video link (such as a Zoom URL), and Description for any notes the appointment needs.

  6. Schedule it

    Click Schedule Appointment. You'll land back on your Appointments list with the new entry in place.

Opening the form from a contact's record passes their contactId in the link, so the Contact field is already filled in for you — one less thing to pick.

Create one straight from a contact

You don't have to open the full form every time. From a contact's record you can open the New appointment modal, which schedules the appointment and links it to that contact automatically. The modal sets a default start time and fills the end time one hour later, just like the full form.

Both paths save to the same place. However you create it, the appointment shows on your Calendar, your Appointments list, and — if you linked a contact — that contact's timeline.
